ASSI Practical Assessments App – Privacy Policy

This privacy policy explains how ASSI International Pty Ltd (RTO 40477) ("ASSI", "we", "us") collects, uses, stores and discloses personal information through the ASSI Practical Assessments app for Android (the "app"). We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

1. Who the app is for and what it does

The app is for students aged 18 and over who are enrolled with ASSI in the CPP30619 Certificate III in Investigative Services. Students first record a video of their practical assessment task using their phone's normal camera app. They then use this app to log in with the pass code shown on their ASSI student interface, choose that video and upload it to ASSI so their trainer and assessor can assess it. The app is not available to the general public.

The app does not use your camera, microphone or location, does not record anything, and does not access your contacts, messages, call logs or any files other than the video you choose.

The app does not contain advertising, analytics or crash-reporting tools. Our servers keep normal technical logs (such as the time of a request) for security.

3. Recording other people

Practical assessment videos may include role players (for example an interviewee) or members of the public in public places. You are responsible for making your recordings lawfully, following the surveillance devices and privacy laws of your state or territory and ASSI's Student Safety Declaration. You must not record private conversations or private activities without the consent required by law, and you must only upload videos made for your ASSI assessment. You confirm this when you first open the app.

4. How we use your information

We do not sell your personal information and we do not use it for advertising.

5. Who can see your information

Uploaded videos are not public and are not shared with other students. Videos are stored in Amazon Web Services' Sydney region, Australia. If information is stored or accessed outside Australia, we take reasonable steps to make sure it is protected in line with the Australian Privacy Principles.

6. How we protect your information

All information is sent between the app and our servers using encrypted (HTTPS) connections. Videos are stored in private storage that can only be accessed by authorised people through the ASSI student interface. The app does not allow its data to be copied to phone backups.

7. How long we keep your information

We keep videos and assessment records for as long as needed for your assessment, any appeal, assessment validation and regulatory audit, and in line with the record-keeping requirements that apply to Registered Training Organisations. We are required by law to keep student records, so uploaded videos, assessor comments, results and other assessment records are kept for 7 years after your enrolment ends. Records of any qualification or statement of attainment issued to you are kept for the period required by law. At the end of the required period we securely delete or de-identify the information.

The app chooses videos using Android's own photo and video picker, so it does not need permission to read your photos, videos or files – it can only see the video you pick.

9. Removing your app access

You can log out at any time from the app menu, which removes your pass code from your phone. You can also ask us to remove your access to the app from the app menu (Remove my app access) or by using our app access removal page. When we remove your access, your pass code is disabled and server technical logs linked to the app are deleted. Because ASSI is required by law to keep student records, your uploaded videos and assessment records are not deleted on request – they are kept securely for 7 years and then deleted, as explained in section 7.

10. Access, correction and complaints

You can ask to see or correct the personal information we hold about you. If you have a privacy concern or complaint, contact us using the details below. We will respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (www.oaic.gov.au).
